Summary

The Preconstruction Coordinator assists throughout all phases of the estimating and preconstruction process by leading bid package coordination from initial review through final submission. This role is responsible for reviewing and preparing construction bidding documents to ensure accuracy, compliance, and proper execution of required signatures. Additionally, the Preconstruction Coordinator manages bonding and insurance requests and prepares Requests for Information (RFIs) to clarify project requirements and specifications. Serves as the CRM database subject matter expert and is responsible for generating and assisting with corporate safety communications.

Roles and Responsibilities

The Preconstruction Coordinator will perform the following duties in a safe, productive, and effective manner: 

  • Quote management in SmartBid including receiving, saving, logging, and distributing subcontractor, vendor, and supplier quotes to the estimating team
  • Coordination with Baker Risk and Bonds/Surety for insurance forms, builder’s risk, bond forms, surety letters, powers of attorney, and related pursuit deadlines
  • Client/owner portal management, including bid access, registrations, downloads, addenda notices, uploads, owner prequalification status, and required safety/compliance data
  • Support proposal teams by extracting RFP requirements for risk, insurance, bonds, affidavits, notaries, and required forms; coordinate completion; confirm signatures/notaries are in place; and check completed forms against the owner’s requirements before submission
  • Maintain accurate pursuit and past-project data for proposal use, including project statistics, contract values, delivery method, scope, schedule, safety data, references, and related logs
  • Work in CRM database, working with the Corporate PMO (I.T. Project Management Office)
  • Manages and assists with regional CRM data input and reporting
  • Manages regional prequalification process and takes the lead on completing submittal information
  • Manages and takes lead on Corporate third-party Prequalification Systems such as Avetta, ISNetworld, and TradeTapp
  • Assists Estimators with filling out bid forms and proposal submission
  • Attends weekly regional BD/Estimating Meetings
  • Gathers project Metrics from estimators for each bid and updates database
  • Responsible for organizing and distributing materials for Safety Week across all BCE Companies
  • Assists Safety with various co-worker communication programs and materials. (IIF Training and Safety posters) Responsible for Award applications and submittal content. (Such as AGC, AIA, ACI, Build Ohio, etc.)
  • Responsible for providing regional projects to Marketing for the corporate website
  • Provides administrative support on an as needed basis for Marketing, Business Development, and Estimating

Requirements

  • Associates degree and 5 years of equivalent experience in estimating, operations or executive assistance or equivalent combination of education and experience
  • Proficient with Microsoft Office
