The Travel & Expense Specialist must be competent in the following areas to perform his/her role in a safe, productive, and effective manner.
Roles and Responsibilities
- Initiates and monitors subsistence deposits to more than 1,500 traveling co-workers
- Issues/audits/administratively manages all companies’ gasoline credit cards and responds to all card issues
- Reviews the accuracy of accounting and proper ledger coding of all individual expense reports
- Reports the approved expense entries to payroll on a weekly basis
- Acts as administrator for the electronic data expense reporting within Concur
- Computes and forwards the taxable gasoline income to payroll monthly
- Issues and maintains the co-worker debit card program through Comdata
- Initiates weekly subsistence co-worker card deposits through Vista and generates the weekly data file for Comdata
- Works with the Treasury Department to ensure the accuracy of all funds
- Responsible for manual field check stock which includes: managing, recording and distributing to various offices and jobsites, as well as ordering supplies and ensuring storage security
Requirements
- High School Diploma or GED and 4 years of clerical/administrative related experience or equivalent combination of education and experience
- Proficient in Microsoft programs such as Word and Excel; must possess advanced skills in Excel, such as pivot tables and formulas
- Proficient with the usage of the internet with regards to researching GSA tables and IRS regulations
- Ability to read, analyze and to interpret business related periodicals, journals, technical procedures and governmental regulations
- Must possess the mathematical ability to add, subtract, multiply, divide and apply concepts such as fractions, percentages and proportions to practical situations
- Must be able to manage confidential information
- Ability to solve problems and to interpret a variety of instructions furnished in written, oral, diagram or schedule forms
- Strong customer service skills with both internal customers and external vendors
